By creating an account, registering for an event, or otherwise using the TOC Registration Platform ("Platform"), you ("User," "you," or "your") agree to be legally bound by these Terms of Service ("Terms"). If you are using the Platform on behalf of a school, club, or organization, you represent and warrant that you have authority to bind that organization to these Terms.
If you do not agree to these Terms, do not create an account or use the Platform.
The TOC Registration Platform is a sports event management system that enables schools, clubs, and independent programs to register teams and coaches for Tournament of Champions-sanctioned basketball and volleyball events. The Platform facilitates:
TOC reserves the right to modify, update, or discontinue any feature of the Platform at any time with or without notice, and shall not be liable to you or any third party for any modification, suspension, or discontinuation.
The Platform is intended for use by adults (18 years of age or older) who are authorized representatives of a school, club, or independent sports program. By registering, you confirm that you are at least 18 years old and authorized to represent your organization.
You are responsible for maintaining the confidentiality of your account credentials. You must not share your password or allow unauthorized persons to access your account. You are solely responsible for all activity that occurs under your account. Notify TOC immediately at info@thetoc.org if you suspect unauthorized access.
You agree to provide accurate, current, and complete information when creating an account and registering for events, and to update that information promptly if it changes. TOC reserves the right to terminate accounts where information is found to be inaccurate, misleading, or fraudulent.
Schools and programs may create one primary account. Administrative access may be shared internally with authorized staff under your organization's own management and responsibility.

Violation of these prohibitions may result in immediate account suspension, registration cancellation without refund, and potential legal action.
Event registrations are submitted through the Platform and are subject to event-specific rules, capacities, division limits, registration deadlines, and eligibility criteria established by TOC. Submission of a registration does not guarantee placement; TOC reserves the right to reject registrations that do not meet event requirements.
You are responsible for ensuring that all division classifications, coach assignments, and team information submitted are accurate. Misrepresentation of division levels, coach counts, or school affiliations may result in disqualification and forfeiture of registration fees.
TOC establishes registration deadlines for each event. Late registrations may not be accepted. You are solely responsible for completing registration before published deadlines. Reminder notifications may be sent as a courtesy but are not a guarantee.
If an event reaches capacity, registrations may be placed on a waitlist. TOC will notify waitlisted schools if space becomes available. No payment is collected until a waitlisted registration is confirmed.
Registration fees are published on individual event pages and may include base fees, per-coach fees, division fees, and applicable service charges. By completing a registration and submitting payment, you agree to pay the total amount shown at checkout.
All payments are processed by Stripe, Inc., a third-party payment processor. By submitting payment, you agree to Stripe's Terms of Service and Privacy Policy (available at stripe.com). TOC does not store card numbers or sensitive payment credentials.
Payment is confirmed only upon receipt of a successful Stripe payment confirmation via webhook. Client-side success messages alone are not sufficient to confirm payment completion.
A valid billing name and address are required at checkout for invoice and record-keeping purposes. You agree that the billing information you provide is accurate and current.
Invoices and payment receipts are generated automatically upon successful payment and sent to the email address associated with your account. Copies are accessible from your account dashboard.
TOC is not responsible for registration failures resulting from declined or failed payments. It is your responsibility to ensure that sufficient funds are available and that payment details are accurate. A failed payment does not hold your registration spot.
Cancellation and refund eligibility is governed by the refund policy published for each specific event. In general:
In the event that TOC cancels or postpones an event, registered schools will be notified as soon as reasonably possible. Refund eligibility in such cases will be communicated on a per-event basis. TOC is not responsible for travel, accommodation, or other costs incurred by registered schools in connection with event cancellation.
Approved refunds are processed to the original payment method via Stripe. Processing times are subject to Stripe's standard timelines (typically 5-10 business days). Service fees are non-refundable unless the event is cancelled by TOC.
TOC may offer an optional registration protection fee at checkout. This fee, when elected, provides coverage for specified cancellation scenarios as described in the protection fee terms displayed at checkout. The protection fee is non-refundable once a registration is submitted.
Claims against protection fee coverage must be submitted to TOC in accordance with the coverage terms. TOC reserves the right to approve or deny claims at its discretion based on the applicable coverage terms.
By submitting coach and staff information through the Platform, you represent that you have the authority to provide such data on behalf of your organization and that the individuals whose data you submit have been informed that their information will be shared with TOC for event administration purposes.
Coach data (name, contact information, position) is used solely for event registration, credentialing, check-in management, and communications relevant to TOC events.
All content, designs, trademarks, logos, and technology comprising the TOC Registration Platform are the intellectual property of Tournament of Champions and/or Tenaya Digital, and are protected by applicable intellectual property laws.

To the fullest extent permitted by applicable law, Tournament of Champions, its officers, employees, agents, partners, and the Platform developer (Tenaya Digital) shall not be liable for:
TOC's total aggregate liability for any claim arising from these Terms or use of the Platform shall not exceed the amount paid by you to TOC in the three (3) months preceding the event giving rise to the claim.
The Platform is provided "as is" without warranties of any kind, express or implied. TOC does not warrant that the Platform will be uninterrupted, error-free, or meet your specific requirements.
You agree to indemnify, defend, and hold harmless Tournament of Champions, its affiliates, officers, employees, agents, and the Platform developer (Tenaya Digital), from and against any claims, damages, losses, liabilities, and expenses (including reasonable attorneys' fees) arising from:
TOC may suspend or terminate your account at any time, with or without notice, for any violation of these Terms, fraudulent activity, abusive conduct, or for any reason TOC deems appropriate to protect the integrity of the Platform and its events.
Upon termination, your right to access the Platform ceases immediately. Registration fees paid for events that have already occurred are not refundable upon account termination. For pending events, refund eligibility will be determined by the applicable event refund policy and the reason for termination.
You may close your account at any time by contacting TOC at info@thetoc.org. Account closure does not waive any outstanding financial obligations.
These Terms shall be governed by and construed in accordance with the laws of the State of Arizona, without regard to its conflict of law principles.
Any dispute arising under or relating to these Terms that cannot be resolved informally shall be submitted to binding arbitration administered by the American Arbitration Association in accordance with its Commercial Arbitration Rules. The arbitration shall take place in Arizona. The arbitrator's decision shall be final and binding on both parties.
Nothing in this section limits TOC's right to seek injunctive or other equitable relief in any court of competent jurisdiction to prevent unauthorized use of the Platform, infringement of intellectual property rights, or irreparable harm.
Any claim must be brought within one (1) year after the cause of action accrues; claims brought after that period are permanently barred.
These Terms, together with the Privacy Policy and any event-specific terms published at the time of registration, constitute the entire agreement between you and TOC regarding your use of the Platform and supersede all prior agreements.
TOC reserves the right to modify these Terms at any time. Updated Terms will be posted on this page with a revised effective date. Continued use of the Platform after the effective date of any changes constitutes acceptance of the modified Terms.
If any provision of these Terms is found to be invalid or unenforceable, that provision shall be modified to the minimum extent necessary to make it enforceable, and the remaining provisions shall remain in full force and effect.
Failure by TOC to enforce any provision of these Terms does not constitute a waiver of the right to enforce that provision in the future.
